Your privacy matters to us. People share personal and sometimes very sensitive things with us, and we treat that with the care it deserves. This policy explains what information we collect, why, how we protect it, and the choices you have.

1. Who we are

The Hypnosis and Therapy Centre is run by Hypnosis and Therapy Centre Limited, a company registered in Ireland (company number 757276), with its registered office at 20 Harcourt Street, Saint Kevin’s, Dublin, D02 H364.

We are the “data controller” for the personal information described in this policy. This means we decide how and why it’s used, and we’re responsible for protecting it.

2. The information we collect

If you enquire or book a call with us: your name, email address, phone number, and anything you tell us in a form, quiz, booking or call about what you’d like help with.

If you become a client:

  • contact details and appointment history
  • information from your intake form and our sessions, including session notes
  • payment records (we never see or store your full card details)
  • audio recordings of your sessions, if you ask for them

Health information: what you share with us during our work together will often relate to your physical or mental health. This is “special category data” under data protection law, and we give it extra protection (see section 4).

If you attend a group session or Masterclass: your name or display name, what you choose to share, and your image and voice if the session is recorded.

If you visit our website: technical information such as your IP address, browser, device and how you use the site. We collect this through cookies, and only with your permission where the law requires it (see section 8).

3. How we use your information

We only use your information where we have a lawful reason to do so:

  • To provide our services, including booking and running sessions, check-ins between sessions, sending audio recordings, and managing payments. Legal basis: to perform our contract with you.
  • To respond to enquiries and Breakthrough Call requests. Legal basis: steps you’ve asked us to take before entering a contract, and our legitimate interest in responding to people who contact us.
  • To keep financial and accounting records. Legal basis: legal obligation (Irish tax law).
  • To keep client records after your programme ends, so we can support you if you return and respond to any questions, complaints or insurance matters. Legal basis: our legitimate interests.
  • To send you emails about our Masterclasses, new services and helpful content. Legal basis: your consent, or for existing clients, our legitimate interest in telling you about similar services. You can opt out at any time.
  • To understand how our website is used and to show relevant ads. Legal basis: your consent through our cookie banner.
  • To keep our clients and practitioners safe. Legal basis: our legitimate interests and, in rare cases, the vital interests of you or someone else.
  • To record group sessions so participants can watch them back. Legal basis: our legitimate interest in providing replays to clients.

4. How we protect your health information

We only process health information with your explicit consent, which we ask for in writing on your intake form. You can withdraw that consent at any time, but we may then be unable to continue working with you, because we can’t provide our services without it.

Session notes and health information are only accessible to your practitioner and the people who need access to run the practice.

We will never share what you tell us without your written consent, except:

  • where the law requires us to; or
  • where we believe there’s a serious risk of harm to you or someone else.

5. Who we share your information with

We don’t sell your information, and we never share session content for marketing.

We use trusted service providers to help run our business. They only access the information they need to provide their service to us. These include:

  • Practice management and booking software, for appointments and client records
  • Payment processing: Stripe processes card payments under its own security standards
  • Video and calling platforms, for online sessions
  • Email, website hosting and cloud storage providers
  • Email marketing and scheduling tools, for newsletters and booking calls
  • Lead management and automation tools, for keeping track of enquiries
  • Accounting software and our accountants
  • Analytics and advertising platforms (Google and Meta), only where you’ve accepted cookies

Some of these providers, such as Google and Meta, also use information for their own purposes under their own privacy policies.

We may also share information with professional advisers, insurers or authorities where required by law.

6. International transfers

Some of our service providers are based outside the European Economic Area, including in the United States. Where your information is transferred outside the EEA, it is protected by approved safeguards, such as the EU-US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

7. Marketing emails

We’ll only send marketing emails if you’ve agreed to receive them, or if you’re a past or current client and haven’t opted out. Every email includes an unsubscribe link. You can also email info@hypnosisandtherapy.ie at any time to opt out. We’ll action your request as soon as possible, and within 5 working days at most.

Messages about your appointments and programme aren’t marketing, so you’ll still receive those while you’re a client.

8. Cookies

Our website uses some essential cookies to work properly. We’ll only use analytics and advertising cookies (such as Google Analytics, Google Ads and the Meta Pixel) if you accept them through our cookie banner.

You can change your choice at any time using the cookie settings link at the bottom of the page. You can also control personalised advertising in your Google Ads Settings and Facebook Ad Preferences.

9. Recordings

  • Group sessions and Masterclasses: all group sessions are recorded so participants can watch them back. We’ll let you know in the invitation and again at the start of the session. If you’d prefer not to appear, you can keep your camera off, use a different display name and send any questions to us privately. If you appear in a recording and would like to be removed, just ask. Recordings are only shared only shared with past and current clients who attend our group sessions.

10. How long we keep your information

  • Client records and session notes: 7 years after your last session, for insurance and legal purposes.
  • Financial records: 6 years from the end of the relevant tax year, as required by Irish law.
  • Enquiries that don’t lead to a booking: up to 2 years from your last contact.
  • Marketing lists: until you unsubscribe.
  • Website and cookie data: in line with the settings of the relevant analytics or advertising tool, typically no more than 14 months.

After these periods, we securely delete or anonymise your information.

11. How we keep your information secure

We use password-protected and encrypted systems, restrict access to people who need it, and store any paper records in locked storage.

If a data breach ever puts your rights at risk, we’ll notify you and the Data Protection Commission as the law requires.

12. Your rights

You have the right to:

  • access the personal information we hold about you
  • ask us to correct anything that’s wrong or incomplete
  • ask us to delete your information, unless we’re required to keep it
  • ask us to restrict or stop using your information
  • object to us using your information, including for marketing at any time
  • receive your information in a portable format
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email info@hypnosisandtherapy.ie. We’ll respond within one month. There’s no charge in most cases, and we may ask you to confirm your identity first.

We don’t make any decisions about you using purely automated means.

13. Children

Our services are for adults aged 18 and over. Where we agree in advance to work with someone under 18, we’ll only do so with the consent of a parent or legal guardian, who can exercise rights on the young person’s behalf.

14. Making a complaint

If you have a concern, please contact us first and we’ll do our best to put it right. You also have the right to complain to the Data Protection Commission at www.dataprotection.ie, or to the data protection authority in the EU country where you live.

15. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated. If we make significant changes that affect how we use your information, we’ll let current clients know.
